Shape Your Ipswich Privacy Statement

This site is owned and operated by Ipswich City Council (Council) using software licensed from Social Pinpoint. Council collects and protects your personal information in accordance with this Privacy Statement. For details of how Social Pinpoint may access personal information, please refer to Social Pinpoint’s Privacy Policy.

Council, through Shape Your Ipswich, collects and manages personal information. Council respects the privacy of the personal information held by us.

Council complies with the privacy principles in the Information Privacy Act 2009 when we collect, store, use and disclose your personal information. Collection and use of personal information

Through Shape Your Ipswich, Council is seeking community feedback on a range of projects, services and subjects. Your feedback will be managed by Council and its contracted service provider, Social Pinpoint.

From time to time, your personal information may be made available to other consultant companies employed by Council and/or employees of Ipswich City Council. Council will provide details on the identities of contracted consultant companies where this applies.

What personal information do we collect and use?

As far as practicable, we will collect personal information directly from you. In certain circumstances we may collect your personal information from a third party; for example, if you are a minor – from a parent or guardian.

Personal and demographic information

Through Shape Your Ipswich, Council collects the following types of information:

  • First name
  • Surname or family name
  • Email
  • Screen name
  • Gender
  • Year of birth
  • Cultural background
  • Suburb
  • What is your connection to the City of Ipswich, for example; do you work, live, or visit the city

Only your Screen name is visible to the public when commenting and contributing to a consultation.

User-generated information

Through Shape Your Ipswich, digital correspondence may be exchanged between Shape Your Ipswich and you (via email or a message on the platform). This can include responses and/or submissions Shape Your Ipswich has had from you.

Why do we collect this information?

To obtain your views on Council policies, services and projects

Council wants to hear from the whole community and we collect this information to help inform decision making. The intent of the Shape Your Ipswich information collection is to identify gaps in community representation and to encourage more inclusive engagement. In turn, this will inform Council policies, services and programs that will align with the diversity of our community.

To send you periodic communication

Shape Your Ipswich will send information and updates about the projects discussed on this site to the email address you provide.

The Shape Your Ipswich newsletter will be e-mailed quarterly.

At any time you can unsubscribe from receiving updates via the newsletter by using the unsubscribe link at the bottom of each email.

To protect the integrity of the discussion

Comments provided to Shape Your Ipswich are moderated by Ipswich City Council. We do this to create a productive and safe environment where people can get involved with the issue and each other without feeling bullied, harassed or intimidated.

Who has access to this information?

When you register for a user account and participate in the Shape Your Ipswich consultations you provide Council with two types of personal information.

Information available to other persons

Publicly available information is limited to your screen name and any comments you leave under that name in the forums or other tools on the site.

You are able to choose a screen name that does not personally identify you to other participants.

After the consultation period has ended, Council will publish reports that may incorporate community feedback and the results of polls and surveys. As appropriate, selected quotes or comments from surveys may be included in the reports. None of the selected material will be attributed to identifiable individuals.

Information available to both Ipswich City Council and Social Pinpoint

  • All information from the Registration form,
  • Comments,
  • Survey, Quick Poll, and comment voting responses,
  • General site activity such as document downloads.

Storage of personal information by Council

Council protects your personal information against loss, unauthorised access, use, modification and disclosure, and any other misuse. Council stores the personal information it collects in secure locations and databases located in Australia.

Some examples of the safeguards Council uses to protect your personal information include:

  • password protection on Council computers
  • restricted access to Council officers
  • training for Council employees on Council’s information security and confidentiality procedures
  • regular back up of Council databases.

Third party links

Occasionally Ipswich City Council may include links to third party sites on a Shape Your Ipswich project page. These can either be contract consultations and/or expert information services on a particular topic. Council will clearly identify when a link is to a third party site. These third parties have separate and independent privacy policies. We have no responsibility or liability for the content and activities of these linked sites.

Your agreement

Your participation on the Shape Your Ipswich digital engagement platform is subject to the terms and conditions set out in this Privacy Statement.

At any time, you may close your Shape Your Ipswich account or request deletion of the personal information we hold, by emailing communityengagement@ipswich.qld.gov.au.

Complaints

If you have a complaint about how we have handled your personal information, please contact us by email, phone call or letter. Please see contact details below.

Please note that we will ask you to lodge your complaint in writing. Council will endeavour to:

  • acknowledge receipt of your complaint within 5 business days of receiving your complaint; and
  • provide you with a response within 45 business days of receiving your complaint.

The following Terms and Conditions govern the use of Shape your Ipswich (“the site”). This site is owned and operated by Ipswich City Council ('Council') using software licensed from Social Pinpoint.

By accessing and using this site, you are choosing to accept and comply with the Terms presented throughout this agreement as well as the Privacy Statement and Moderation Statement. These Terms apply to all visitors and users of this site. Linked sites, affiliated services or third party content or software have their own Terms that you must comply with. If you disagree with any of the Terms presented in this agreement, you may discontinue using the site immediately.

If you are under 18 years old, please ensure that your parent or guardian understands and accepts these Terms and Conditions (including the Privacy Statement and Moderation Statement).

What are the conditions with a user’s account?

While using the site, you must not violate any applicable laws and regulations. It is our duty to protect the confidentiality of content you provide on our site in accordance with our Privacy Statement. When you create an account with us, you must always provide us with accurate information. Failure to provide accurate information violates the Terms, which may result in immediate termination of your account on our service. You are responsible for protecting your own password you use for this site and for any activities done under that password. Unauthorised use of your password or account must be immediately reported to the Council. In some cases, we or our agents may require access to your user accounts to respond to technical issues.

We are not responsible for the content on the site that has been provided by the users of the site. Any content posted by you is subject to the rules of our Moderation Statement. Your contribution to the site may be edited, removed or not published if we consider it inappropriate (refer to Moderation Statement). Contributors should also be aware that their posts may remain online indefinitely. Where practical, you may choose not to identify yourself, deal with us on an anonymous basis or use a pseudonym.

What do we require from their users?

You must understand and agree that, without limitation:

  • all information, data, images and other materials are the sole responsibility of the person from whom the content originated;
  • you are prohibited from advertising or offering to sell or buy goods and services;
  • you cannot transmit content that contains software viruses or programs designed to change or destroy the functionality of any computer software or hardware;
  • you cannot collect or store personal data about other users of the site;
  • you cannot impersonate any person or entity, including without limitation to a Social Pinpoint representative;
  • you cannot interrupt or interfere with the site or servers or networks connected to this site;
  • you cannot attempt to gain unauthorised access to the site or other use accounts

Can your account be suspended or terminated?

We may terminate or suspend access to your site and/or account immediately, without prior notice, including without limitation if you breach the Terms. We may immediately deactivate or delete your account and all the related files and information in your account. After your account has been terminated, the content you have posted may also remain indefinitely on the site.

Governing Law

These Terms shall be governed in accordance with the laws of Queensland, Australia, without regards to its conflict of law provisions.

Indemnification

Council, its subsidiaries, affiliates, officers, agents, licensors and other partners are not responsible for any loss, liability, claim, or demand, including legal fees, made by any third party due to or arising from a breach of this agreement and/or any breach of your representations and warranties set forth above.

What content do we own?

The site contains the copyrighted material, trademarks, patents, trade secrets and other proprietary information (“Intellectual Property”) of the Council and its suppliers and licensors. The Council owns and retain all proprietary rights in the intellectual property. All intellectual property in the content of this site including without limitation to text, software, source code, pages, documents and online graphics, photographs, sounds, audio, video and other interactive features are owned by or licensed to us.

Any original content that you submit or post on our site may be made available to the public and allows users to share your content (with the end user acknowledging your contribution) under the Creative Commons Attribution-ShareAlike 4.0 Australian License.

Except for Intellectual Property which is in the public domain or for which you have been given written permission, you may not copy, alter, transmit, sell, distribute any of the Intellectual Property.

We are not responsible for your communications or dealings, including payment and delivery of goods or services, with a third party found via our website. Any loss or damage incurred from those communications or dealings are solely between the user and the third party.

Disclaimer and Warranties

Users must agree that you use of the site is at your own risk. We make no warranty that the site will meet your requirements or be uninterrupted or error-free.
